Email Setup and Configuration

This article covers basic Email setup for Apple Mail and Outlook.

Please note:
The following instructions include a fake web site called 'your-domain.com' and a fake user called 'user.' You need to substitute your actual web address and user name where it  says 'your-domain.com' and 'user.' For example, if your name was Bill Smith who owns the domain name www.cheese.com, you would replace 'user' with 'billsmith' and 'your-domain.com' with 'cheese.com.' Your email address would be billsmith@cheese.com.

Apple Mail
  1. Open Apple Mail
  2. Click the 'Mail' menu and select 'Preferences'
  3. Click the 'Accounts' Tab
    Click the '+' plus key at the bottom left to add a new account
  4. General Information
    Account Type: Select 'POP3' from the drop-down menu
    Account Description: Enter a basic description
    Full Name: Enter your full name
    Email Address: user@your-domain.com
    Click 'Continue'
  5. Incoming Mail Server
    Incoming Mail Server: mail.your-domain.com
    User Name: user@your-domain.com
    Password: yourpassword
    Click 'Continue'
  6. Incoming Mail Security
    Use Secure Sockets Layer (SSL) should NOT be checked
    Authentication: Select 'Password' from the drop-down menu
    Click 'Continue'
  7. Outgoing Mail Server
    Outgoing Mail Server: mail.your-domain.com
    Use Authentication: you need to check this box
    User Name: user@your-domain.com
    Password: yourpassword
    Click 'Continue'
  8. Account Summary should show you all the information you just entered, click 'Continue'
  9. Conclusion, that's it! Click 'Done.'


Outlook 2003

  1. Open Outlook 2003
  2. Click the 'Tools' menu and select 'E-mail Accounts'.
  3. Click 'Add a new e-mail account' and then click 'Next.'
  4. Select 'POP3' and click 'Next.'
  5. Enter User Information,
    'Your Name:', this is the name that will be displayed.
    'Email Address:', enter your full email address. Example: user@your-domain.com
  6. Enter Server Information, be sure to substitute your actual domain name for the 'your-domain.com' below.
    'Incoming Mail Server (POP3):' mail.your-domain.com
    'Outgoing Mail Server (SMTP):' mail.your-domain.com
  7. Enter Logon Information,
    'User Name:' user@your-domain.com
    'Password:' yourpassword
    Check the 'Remember Password' box.
  8. Click on 'More Settings...'
    Click on the 'Outgoing Server' tab.
    Check 'My outgoing server (SMTP) Requires Authentication'.
    Make sure 'Use same setting as my incoming mail server' is also checked.
    Click on 'OK'.
  9. Click the 'Test Account Settings' button and you should see all items with green check marks. Click the 'close' Button to close the test window.
  10. Click 'Next' to save your settings.
  11. That's it. Happy Emailing.

Example Email Setup for Bill Smith who owns the domain name www.cheese.com.

Your Name: Bill Smith
E-mail Address: billsmith@cheese.com
Incoming Mail Server (POP3): mail.cheese.com
Outgoing Mail Server (SMTP): mail.cheese.com
User Name: billsmith@cheese.com
Password: cheeselover442

Check 'Outgoing Server (SMTP) requires authentication' and use same settings as my incoming mail server.
User Name: billsmith@cheese.com
Password: cheeselover442
